ASEAN medical device group
A Singapore device group keeps its tender and trading entities verifiable for Asia-Pacific public-tender pre-qualification.
Situation
The group is registered in Singapore, does regional assembly of medical devices, and distributes a curated range of devices and consumables across Asia-Pacific. Its largest opportunities run through public tenders — ministries of health, central procurement agencies, and hospital groups. Tender pre-qualification is a documentation exercise before it is a commercial one: bidders are vetted on the completeness of their registration, quality records, traceability, and a web presence that a procurement board can verify.
The group operates through more than one entity — a tender arm and a trading arm — and its web presence did not make that structure legible. A procurement board could not always tell which registered entity was bidding, and an indistinct web presence raised questions a stronger site would have answered in advance. Tender materials were assembled by hand for each opportunity, from a set of documents that lived in several inboxes. The difficulty was not that the material was missing; it was that a board weighing several bidders would not spend a week helping one of them find its own records, and an unverifiable web presence put the group behind competitors who could be checked in minutes.
Each tender cycle repeated the same work, and the delay mattered: pre-qualification windows are short, and a bidder that cannot produce a coherent, current documentation set on the first pass is dropped before the commercial evaluation begins.
The build
The deployment gave the group a site that presents its structure the way a tender authority needs to see it: the registered entities, the assembly operation, and the device range distributed under regional approvals. The document library is organised for pre-qualification — registration details, quality records, traceability documentation — so a procurement board can verify the bidder before formal questions start. Documents are kept current in one place, so the set a board reviews is the same set the group’s own tender team works from, not a bundle assembled overnight.
The inquiry path sorts by engagement type: tender pre-qualification request, distributor application, or product inquiry. Each message reaches the arm of the business that handles it. Because the site and the group’s corporate mail share one owned domain, correspondence about a tender arrives from the same address a procurement board has been reviewing — the identity check that separates a qualified bidder from a trading name.
The record of every tender inquiry is kept and exportable, so the group can reconstruct which documents went to which authority, in which tender round, on demand.
Outcome
- Tender authorities can verify the bidding entity, its registration and its documentation set before formal questions
- Tender, distributor and product inquiries reach the correct arm of the group on the first attempt
- The group keeps an exportable record of every tender exchange, organised by authority and round
